Most households have one copy of everything that matters. Twenty years of photographs on one laptop, or on one phone, or on one external drive in a drawer.

Disks fail without warning, phones are lost, houses are burgled, and a mistaken deletion propagates through synchronised storage before anybody notices.

The rule worth following

Three copies of anything you cannot replace. On two different kinds of storage. With one of them somewhere else.

The reasoning: two copies on the same disk protects against nothing. Two copies in the same house protects against disk failure but not fire or theft. Two copies on the same cloud account protects against hardware failure but not against the account being lost or a deletion syncing everywhere.

For a household this usually means: the originals, a cloud service, and an external drive.

Cloud storage, and its limitation

Cloud photo services are excellent as one copy. They run automatically, they are off site, and they survive anything that happens to your house.

The limitation is that synchronisation is not backup. If you delete a folder, or something corrupts a file, the change syncs. The copy in the cloud becomes the same as the copy on your device — which is deleted or corrupted.

What makes it a backup is version history and a deleted items area that retains things for long enough. Most major services keep deleted files for a period; check how long, because the period varies and it is what determines whether you can recover from a mistake noticed a month later.

Two other practical points. Check your storage tier will hold everything, because photo libraries grow steadily and a service quietly stopping backing up when it fills is a common failure. And put multi-factor authentication on the account, because losing access to it means losing everything in it.

The external drive

Cheap, straightforward and the copy that protects you if a cloud account is lost or compromised.

Practical arrangement: an external drive large enough for everything, updated every month or two, kept somewhere that is not next to the computer. A fire safe, a relative's house, or a drawer at work.

Two drives alternating is better still — one always off site while the other is being updated.

Encrypt it. A drive kept elsewhere is a drive that can be lost, and encryption turns that from a data breach into an inconvenience. Both Windows and macOS make this straightforward.

Drives do not last forever. Replace them every four or five years rather than trusting one indefinitely.

Do you need a home server?

A network storage device sits on your home network and holds files that everyone can reach.

Worth it if: you have more data than cloud storage sensibly holds, several people need shared access, you want your own media library, or you would rather your files were not on somebody else's service.

Not worth it if: you want simplicity. It is another device to maintain, update and eventually replace, and it is in your house — so it burns, floods and gets stolen along with everything else.

Critically: a home server is not a backup on its own. It is a copy in the same building. It needs backing up too, usually to a cloud service, which is a feature most such devices support.

A second copy in the same house protects against a broken disk. It does not protect against fire, flood or theft, which are the events that take everything at once.

The phones

Where most photographs are taken and where the least backup thinking happens.

Both major phone platforms offer automatic backup, and both frequently stop because free storage has run out. The phone shows a small notice, the notice is dismissed, and months pass.

Check yours actually backed up recently. It takes thirty seconds and it is the most commonly broken backup in any household.

Test it

The step everybody skips.

Twice a year: pick a few files from different places and different dates, restore them, and open them. Confirm you can actually see them, not just that a file appeared.

People discover backups were not working at the exact moment they needed them. Testing turns that into a Tuesday afternoon annoyance instead. The same argument applies to businesses at larger scale — see backups that actually restore.

Sorting out what already exists

Most households have photographs scattered across old phones, a laptop, two external drives and a cloud account, with duplicates everywhere.

Consolidating is a weekend rather than an evening. The approach that works: gather everything into one place first, without deleting anything, then remove duplicates with a tool, then organise by year, then back up the result properly.

Do the backup before the tidying. Tidying is when things get deleted by accident.
